The Project Coordinator provides essential administrative, operational, and project-management support to the Project Management Office (PMO), Project Managers, Resource Managers, and organizational leaders. This role is responsible for helping maintain the accuracy, consistency, and timely flow of project requests and active initiatives across information technology, clinical, and healthcare operations.
Working in a complex academic medical center and regional healthcare environment, the Project Coordinator serves as a central point of coordination among project teams, operational leaders, healthcare providers, technical staff, and other stakeholders. The position helps ensure that project work is organized, documented, communicated, and advanced in alignment with organizational priorities.
The Project Coordinator assists with the intake, tracking, prioritization, and coordination of new requests and ongoing projects. This includes maintaining project records, schedules, resource information, meeting documentation, action items, risks, issues, and status reports within PMO tools and systems. The role supports the timely availability of accurate information so leaders and project teams can make informed decisions and effectively manage priorities.
In partnership with Project Managers, the Project Coordinator helps develop and maintain project plans, coordinate meetings, prepare agendas and materials, document decisions, monitor follow-up items, and communicate progress to stakeholders. The individual in this role may also assist with identifying dependencies, escalating concerns, resolving routine issues, and supporting process improvements that strengthen PMO operations.
Effective communication and collaboration are critical to success in this role. The Project Coordinator must be able to communicate clearly and professionally with senior leaders, clinical providers, operational teams, and technical staff. The role requires sound judgment, strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
